Our process
From tender link to
submission ready response.
Winning a tender is a precise discipline, not a writing exercise. Evaluators score against a published framework - and they can only award marks for what is visible, evidenced and mapped to their criteria. Our process is built backwards from that scoring sheet. Here's exactly how we work with you.
Tender intake
You send us the tender link, documents, deadline and any existing draft or background. We review the opportunity and confirm scope.
We research the contracting authority.
Before a word is written, we study who you're bidding to - their commissioning strategy, service priorities, published policies, inspection findings, previous awards and the pressures they're under. This tells us what the buyer actually values, so your response speaks to their priorities rather than restating your own.
We decode the tender and the scoring criteria.
We work through the full tender pack - specification, evaluation criteria, scoring rubric, submission rules and every appendix - to map exactly how marks are awarded and where they carry the most weight. We also use a unique evaluator oriented pattern matched language throughout your response to signal clearly that you understand their service.
We separate the "must have" checks from the "quality" questions.
Some marks are simple pass/fail evidence checks - the right accreditation, rating, system proof or document, in the exact format required. Others are scored on the quality of your written answers. We split these out early, because the pass/fail checks are easy marks that bidders routinely lose by supplying the wrong evidence or the wrong format. We make sure none of them slip through.
We build your requirements matrix - for you to complete with us.
We produce a structured matrix listing every requirement the buyer has set, alongside space for the real evidence that proves you meet it: your KPIs, case examples, named roles, systems and outcomes. This is a genuine collaboration - the strongest responses are built on your verified track record, and this step gathers exactly what we need. We never invent evidence; everything must be real and defensible.
We draft your application.
We write each response to the maximum available mark - a direct answer in the buyer's language, a clear delivery method with named roles and timescales, real evidence, and a plain statement of what the buyer gains. Every claim is anchored to something the evaluator can verify.
We stress-test the draft through our internal Evaluator Council.
This is where we find and fix weaknesses before the buyer ever sees them. We run your draft through a panel of distinct evaluation perspectives - a competitor's advocate, a cost and commercial-credibility reviewer, a quality assessor, the buyer's advocate, a long-term delivery risk reviewer, a first principles challenger and others. Each interrogates the response from its own angle and challenges the others, surfacing gaps, weak evidence, unsupported claims and anything an evaluator could mark down. The result is a sharper, more defensible submission.
We refine the response.
We rework the draft against everything the Council surfaces, combined with our own evaluator-trained review - tightening evidence, closing gaps, sharpening language and confirming every requirement is answered in full.
We run a final compliance check.
Before anything goes to you, we verify every detail the buyer can penalise: word and page limits, formats, required documents, signatures, pricing entries and portal rules. A brilliant answer still fails if a compliance box is missed - so we lock this down.
You give final approval.
Nothing is submitted without your sign-off. You see the complete, submission-ready response and approve it before we proceed.
We submit - well ahead of the deadline.
We submit early, confirm the submission has landed correctly, and stay alert to any buyer clarifications through to close. No last-minute portal risks.
And after the result: win or lose, we help you request and analyse the buyer's feedback, capture the lessons, and strengthen your evidence base for the next opportunity - so every bid makes the next one stronger.
